Facilities Coordinator

The Facilities Coordinator will work closely with Team Leader to ensure and maintain the overall condition and functionality of the Tulsa office. This includes oversight of scheduled and ad-hoc maintenance, meeting and event set-up, building access, internal mail and package delivery, coordination of repairs with landlord maintenance team and compliance with fire and safety codes. Works closely with property management team to complete most repairs and maintenance. Essential duties and responsibilities, shown below, will vary accordingly based on assignment.

What you'll do:

  • Create and monitor all facility work tickets for janitorial, plumbing, lighting, HVAC, etc., maintenance and repairs. Most work tickets are completed by the property maintenance and engineering team
  • Coordinate maintenance and service requests for scheduled and ad-hoc needs with ABG approved vendors
  • Assemble and move furniture, hang pictures and bulletin boards, make name plates, move and set-up tables and chairs for meetings and events. Use hand and power tools to complete work as needed
  • Complete basic touch-up painting and basic carpentry as-needed
  • Process purchase requisitions and POs as needed
  • Utilize company vehicle to pick-up US Mail, procure supplies and transport company guests
  • Track and maintain door hardware and furniture key inventory
  • Create and update basic presentations for internal TV monitors
  • Respond to and acknowledge all email and phone work order requests.
  • Ability to develop and administer of Facilities databases ( Excel, etc.)
  • Run reports and maintain databases related to facilities management, including but not limited to: security card access system, parking hangtags, paper cost, and internal office supply usage and records management.
  • Maintain records for building access regarding revisions/modifications
  • Assist with special events and special projects as needed.
  • Perform other departmental functions assigned by team leader and general management as needed.

Supervisory Responsibilities

This position does not have formal supervision responsibilities.

           

What we're looking for:

  • High School diploma or equivalent is required.
  • 2-3 years previous experience in a Facilities environment or related role.

Preferred knowledge, skills and abilities

  • Proven ability to effectively interface with all levels of staff and management.
  • Must have basic repair and maintenance skills (able to use tools such as drill, screwdriver ,hammer, etc.)
  • Ability to lift up to 60 lbs.
  • Excellent customer service/interpersonal skills and pleasant/positive phone manner.
  • Good planning and organizational skills.
  • Recognize and act on opportunities; adjust direction when situation warrants.
  • Ability to multi-task in a fast-paced environment, well organized and act with a sense of urgency.
  • Excellent interpersonal and communication skills—both verbal and written.
  • Professional appearance and manner.
  • Self-motivated and able to contribute individually as well as part of a team.
  • Proficient PC skills including, MS Office Suite (Outlook, Word, Excel, PowerPoint).
  • Valid Driver License required.
  • Regular and punctual attendance is required.
